Creating, Managing and Working With Customers
We have created functionality specifically for private events. Now, you can provide your event sponsors their own private web page from which they can manage their event, view attendees, and choose their art.
Making an Event Private
Making an event private is as simple as changing the toggle located on the event details screen. From your calendar, select the event you wish to make private, scroll down to the toggle, and make sure it is selected. It will change from gray to pink when selected.
What Makes Private Events Different?
Making an event private causes a couple of things to happen.
- A couple of 'Event Codes' fields are made available to you. (More on these in a second)
- An event specific URL or webpage is created. On the image above you see this Event URL directly under the Toggle.
The event URL allows your private event host to share a direct link to the private event detail page on your website. From there, guests can quickly book their place in the event without worrying about finding it on your site.
Private Event Codes?
On the image above you also see two private event codes. The first, labeled 'Private Event Code', allows guests to actually access the private event page on your site. This is a private event so only invited guests are allowed in. Think of this as the event password to be shared to whomever your host wishes to attend the event.
IMPORTANTLY - these codes are case sensitive. This means that HELLO and hello and Hello are all three different pass codes. If guests are struggling with accessing the event, it is likely this problem.
The second private event code, labeled 'Private Event Host Code', is the password for the event host. This should only be shared with her or him. This code allows the host to see the art gallery and select the art for the event directly from the event page. Once art is selected by the host, your event details screen will automatically show the selected art, freeing you from having to enter it yourself.
IMPORTANTLY - this functionality is locked 72 hours before the event. This way, you don't have to worry about last minute art changes.
Private Art Gallery
We have built the ability to create a private event art list that limits the art eligible at private events. Simply create a list in the Art Management screen and name it 'Private Parties List'. If this list exists in your system, only the art in this list will be shown to private event hosts. Should you decide not to create this list, the system will default to showing the entire art gallery. It is up to your preference.
